Role Overview

The Customer Service Coordinator will play a key role in ensuring a high level of service to our customers and supporting the daily commercial operations of Yokohama Scandinavia.

The role will have a strong focus on Customer Service, order management and delivery coordination, combined with Team Lead responsibilities for the Customer Service team. The position will coordinate the daily work of the team, ensuring clear priorities, efficient workload distribution and consistent customer service.

A key responsibility will be to manage and follow the customer order process from order entry through delivery and invoicing, including the coordination of direct shipments from Asia.

The role involves close cooperation with customers, the sales organization, logistics partners and several internal functions across the organization.

The Customer Service Coordinator will also participate actively in the development of internal processes and systems, including our ERP and Order-to-Cash processes.

The position reports directly to the Pricing & Marketing Manager, Yokohama Scandinavia.

Key Responsibilities

  • Manage daily customer contact and provide a high level of customer service
  • Handle customer orders from order entry through delivery and invoicing
  • Monitor orders, availability and delivery status and proactively communicate updates to customers
  • Coordinate direct shipments from Asia and ensure a smooth process from order to invoicing
  • Coordinate the daily activities of the Customer Service team
  • Set daily priorities and coordinate workload within the team
  • Support and guide team members in day-to-day customer and order-related matters
  • Ensure consistent ways of working and a high level of customer service across the team
  • Act as the first point of escalation for operational customer and order-related issues
  • Follow up team performance and identify opportunities to improve efficiency and service levels
  • Work closely with Sales, Logistics and other internal functions to resolve customer and delivery-related issues
  • Maintain accurate customer and order information in internal systems
  • Support reporting and follow-up using Excel and other internal tools
  • Identify opportunities to improve Customer Service and Order-to-Cash processes
  • Play an active role in internal projects, including ERP implementation and process development

Requirements & Experience

  • You hold a degree in Business, Supply Chain, Industrial Engineering, or a related field
  • You have relevant experience within Customer Service, Sales Support, Supply Chain or order management
  • Previous experience coordinating or supporting a team is considered an advantage
  • You have strong proficiency in Microsoft Excel and are comfortable working with data and business systems
  • You are fluent in both written and spoken Swedish and English
  • Experience working with ERP systems, order management or logistics is considered an advantage
  • You work in a structured and detail-oriented manner and take ownership of your responsibilities
  • You have a strong customer and service mindset and enjoy finding solutions
  • You communicate clearly and effectively and are comfortable interacting with both customers and internal stakeholders
  • You have a collaborative leadership style and enjoy supporting and developing others
  • You are comfortable setting priorities and coordinating multiple activities in a fast-paced environment
  • You show curiosity and a proactive attitude towards improving processes and ways of working
  • You are comfortable taking initiative and working independently when required
